AGS Operations Support (Contractor)


Position Summary

The AGS Operations Support will assist AGS managers by providing daily support to operational tasks for the AGS organization in Japan. This includes subcontractor procurement, customer invoicing, project deliverables packaging, internal systems administration, operational reporting, and approvals workflow. This person will need to pro-actively work with AGS roles such as Consultants, Engagement Managers, and Project Managers. Also, this person is expected to work effectively with other non-AGS organizations such as Sales Ops, Finance, Deal Desk, Order Management, and Legal.



Responsibilities

  • Manage subcontractor contracts from purchase order, monitoring of hours consumption, and timely payment
  • Calculate the hours and cost for time and material contracts with customers and create monthly reports to be submitted to customers as justification for invoicing
  • Administer all Professional Services Administration tools and systems, such as timesheets, resource management, and revenue forecasting
  • Create and maintain operational reports for AGS management, including reports for forecasting, functional reviews, and project reviews
  • Administer manual and semi-manual approval processes for bid proposal reviews, free work, and other exception cases


Requirements

  • 2-3 years of sales or services operations experience
  • Experience in creating customer documents such as quotes, invoices, and purchase orders.
  • Experience in working with internal teams, especially Consulting and Project Delivery teams
  • Knowledge of Professional Services Administration processes/tools
  • Good English skills required, this role will work closely with employees from outside of Japan (US, Ireland, Singapore, India)
  • Advanced knowledge of Microsoft Excel required (VLOOKUP, PIVOT)
  • Self-motivated, strong team player and strong desire to learn new things under a fast-paced consulting and project delivery environment
