What is a memo?
If you want to announce something to everyone in the office, a memo is the way to go. So, what is a memo, and how do you write one to boost your office communications?
What is a business memo? Short for memorandum, it’s a short message used for internal office communications. A memo can be used for a variety of reasons. Here are five use cases for when you might want to write a memo in a business setting.
1. Updates about key goals or projects.
It’s always good to get the team together and align on projects. If you have an update about a specific goal or project, a memo is the perfect way to distribute the information throughout the office. Since memos go to the entire team, everyone will know about the project or goal updates, so they can all be on the same page moving forward. It’s a great way to get your team aligned.
2. Informing team members about process or policy changes.
Another reason to send out a memo is to inform team members about process or policy changes. Whether you have new human resources forms to fill out, an update to the business’s insurance policy, or even a new standard operating procedure to share, a memo can spread the word quickly to ensure everyone follows the new office guidelines.
3. Making company announcements.
Memos don’t always have to be serious. You can also use them to make company-wide announcements, like welcoming a new hire, announcing birthdays, or even preparing the team for the office weekend picnic. Announcement memos are great reminders for the team to make sure nobody misses any office fun.
4. Task reminders.
Is there a deadline coming up? Send a memo to the team to remind them to complete a task before a deadline. Common task reminder memos include filling out HR paperwork, RSVPing for an event or seminar, or completing monthly status reports. If there’s a task that the office needs to complete, it’s the perfect opportunity for a memo.
5. Company-wide requests.
Whether you’re looking for volunteers for a weekend shift or need help organizing an office party, a memo can help you with company-wide requests. Since they go out to the entire organization, you can cast a broad net to hopefully get plenty of people to help with a specific project.
Memos keep business moving.
What is the purpose of a memo? It’s to keep the office in complete alignment. When everyone is on the same page, you can work like a well-oiled machine.
Of course, you never know what device your coworkers will use to read your memo. Be sure to save it as a PDF before sending it. PDFs maintain their formatting across devices, so your memo will always look good no matter which device your teammates use.
You can convert Word to PDF to simplify sharing your memo without worrying about formatting issues. You can also edit your PDF online to add text, sticky notes, and comments for a perfect company-wide message.
