LiveCycle Process Management ES2 Upgrade Center

Adobe® LiveCycle® Process Management ES2 contains several new features to help make it easier to design and deploy business processes. Previous generations of software that upgrade to this version include LiveCycle ES Update 1, LiveCycle ES, and LiveCycle Workflow 7.x.

What are the new features in the LiveCycle Process Management ES2 release?
LiveCycle Process Management ES2 contains several new features to make it easier to design and deploy business processes.
  • Codeless RIA development: With the new model-driven development capabilities in Process Management ES2, business analysts can now develop fully functional and intuitive rich Internet application (RIA) guides for capturing data. For example, an analyst defines the data model and adds behaviors to it, such as validations, derived properties (e.g. email= first.last@company), and filtering. Then, when the data model is deployed to the server, services are automatically created on-the-fly for managing the data (create/update/delete/validate/calculate derived properties, etc.) By dragging and dropping a data object such as customer list onto a table UI control, the table is automatically bound to these services, creating a fully working UI with no coding.

    In addition, analysts can simply use the data model they defined and use an RIA wizard to generate rich guides from it with no coding, making it simple for analysts to design not only process flows, but working and intuitive user interfaces as well.
  • Empower business users to define ad-hoc content reviews: In conjunction with other LiveCycle ES2 modules — PDF Generator, Reader® Extensions, Rights Management, and Content Services — Process Management enables business users to manage ad-hoc content reviews without involving IT. Using an intuitive interface, users can publish content, create a list of reviewers (including ones outside the organization), and define approval stages, deadlines, and escalation guidelines. The content is then automatically converted to PDF, enabled for inline commenting, rights protected, and distributed. Users can monitor and modify the process at any time.
  • Access to worklists from mobile devices: Process Management ES2 enables business users to use native clients on iPhone and BlackBerry® devices to manage their task lists. Capabilities include the ability to view the lists, search for key tasks, view summaries of detailed tasks, open flattened PDF attachments, and approve, reject, or delegate tasks to others for speedy completion.
  • E-mail-based routing ("Reply-to-complete"): Users can review, approve, or reject tasks through any e-mail client without requiring any additional software, making participation in processes extremely easy.
  • Large-team development support: Process Management ES2 provides access control in the design-time environment, as well as check-in/check-out capabilities.

    In addition, the following capabilities were introduced with LiveCycle ES Update 1, offering additional functionality to customers currently using the LiveCycle ES version of this software.

  • Business calendars: Tasks within business processes are normally created with predefined time for completion, reminders, and escalation rules. For example, a task has to be completed within five business days and if escalated to a manager then the manager needs to complete it within two business days. Administrators can create business calendars configuring nonworking days and map these to specific people based on their location, business unit, and so forth. For example, a business calendar can be configured that defines nonworking days such as Saturdays/Sundays and holidays such as New Year's Day. When tasks are scheduled, these nonworking dates are taken into account. Multiple business calendars can be configured for geographies such as North America or Europe or based on organizational structures such as the Customer Support business calendar.
  • Initiate from archive: Working in LiveCycle Workspace, users can easily initiate new processes by reusing information contained in a previously archived form.
  • Out of office: Working in LiveCycle Workspace, users can define when they are out of the office and either delegate tasks or keep them in a task list.
  • Additional LiveCycle Workspace enhancements: Other new enhancements include Windows single sign-on, enabling users to navigate to the application without reauthentication; accessibility enhancements that help ensure a productive experience when engaging with the application through assistive technology such as screen readers; and the ability to view the application through the Safari browser or integrate it as a portlet within a SharePoint portal.
What are the key enhancements to LiveCycle Workbench ES2?
LiveCycle Workbench ES2 now includes these capabilities:
  • Take advantage of a single, unified authoring tool with versioning, check-in/checkout, and granular access controls for creating PDF forms, Output templates, form guides, business processes, and Java™ components.
  • Design easy-to-use Guides with a Guide Builder perspective that allows you to quickly create an Adobe Flash® technology–based application that guides the user through a typical data capture process such as an online form.
  • Streamline development by using a common data model that enables developers to write applications at a higher level, reducing the amount of code and simplifying data integration in the development of your application.
  • Dynamically create sophisticated document packages and interactive PDF Portfolios.
  • Simplify testing and deployment by previewing your business process, including testing form and Flex® user interfaces, and recording the process results.

    In addition, the following capabilities were introduced with LiveCycle ES Update 1, offering additional functionality to customers currently using LiveCycle Workbench ES.
  • Debug your LiveCycle ES applications by recording your processes as they're executed on the server. If you come across a problem during development, play the recordings back to see the routes that your process took and the values of variables at each step.
  • Use the new Process Validation feature to make sure that your processes are well formed before deploying them to the server.
  • Find the services and properties you need more quickly.
What are the key enhancements to LiveCycle Foundation?
Key enhancements to LiveCycle Foundation include:
  • Reference real-time graphical server health statistics within the LiveCycle administration UI.
  • Work in maintenance mode to streamline and reduce operational costs from upgrades or system maintenance by suspending all asynchronous operations.

    In addition, the following capabilities were introduced with LiveCycle ES Update 1, offering additional functionality to customers currently using the LiveCycle ES version of this software.
  • Scripted deployment lets you automate and maintain applications from development to staging to production.
  • Enable script-based deletion of completed processes that are no longer needed.
  • Take advantage of enhanced backup and restore services to better support 24x7 environments.
  • Provide support for single sign-on, Microsoft Active Directory referral, Domino LDAP, and other services.
  • Monitor LiveCycle ES applications using third-party tools more easily thanks to JMX support.
What are the additions to the platform matrix?
The platform matrix now includes:
  • IBM WebSphere 7.0
  • Oracle WebLogic 10gR3
  • JBoss EAP 4.3

In addition, the following support was added with LiveCycle ES Update 1.

  • Support for new versions of Adobe clients, including Adobe Reader 9, Acrobat® 9, Flash Player 9, and Adobe AIR®
  • Updated support for enterprise platforms

Upgrading to LiveCycle Process Management ES2

Why did Adobe change the name of LiveCycle Workflow to Adobe LiveCycle Process Management?
The name LiveCycle Workflow did not reflect the full capabilities of the software. Most organizations already have workflows in their various business systems, and these workflows are often limited to a single application. The name LiveCycle Process Management ES reflects the software's capability to automate and manage processes that span multiple business systems, involve a variety of people and transactions, and extend beyond the firewall.
What's involved in the upgrade from a technical perspective?
LiveCycle Process Management ES2 offers two sets of APIs to make it more convenient to upgrade: the original LiveCycle Workflow 7.x APIs and the LiveCycle Process Management ES2 APIs. There is no need to modify your application immediately after you install Process Management ES2. However, since the Process Management ES2 APIs are fairly new, it will make sense for new applications to leverage the newer APIs for their new capabilities. Existing applications can be migrated to the newer APIs when it makes sense for your organization to do so. The LiveCycle Workflow 7.x APIs have been maintained for two major versions of LiveCycle Process Management ES. Starting with ES3, customers will have to change their processes so they use native ES2 functionality.
How does Adobe Workflow 7.0 differ from Adobe LiveCycle Process Management ES2?
Process Management ES2 provides existing Adobe Workflow customers the opportunity to transition to a standards-based and scalable solution providing greater ROI and interoperability with their existing solution. Process Management ES2 advantages can be best summarized as speed, scalability, standards, and extensibility.
  • Speed: Enterprise customers require technology solutions that can change as quickly as their processes demand. Adobe's intuitive design tools and SOA-based architecture provide a flexible platform that enables customers to rapidly design, integrate, deploy, and manage any business process.
    1. Adobe LiveCycle Workbench ES2 software makes it easier to quickly develop processes using the drag-and-drop tool.
    2. LiveCycle Business Activity Monitoring (BAM) ES2 makes it easier to track business processes, audit, and provide management dashboards on business process status.
    3. LiveCycle Workspace ES2 makes it easier to manage and deploy business processes, and it allows people to initiate and participate in those processes.
  • Scalability: Today's systems must scale to support mission-critical deployments, requiring enterprise process management. Process Management ES2 is a Java 2 Enterprise Edition (J2EE) solution with an intuitive development environment and enterprise business process management (BPM) features.
  • Standards: Enterprise customers require that their solutions interoperate with existing infrastructure and emerging SOA standards. Process Management ES2 is based on industry-standard technologies BPMN, J2EE, XML, and Web Services.
  • Extensibility: Process Management ES2 is one module in the larger Adobe LiveCycle Enterprise Suite 2. Used in combination with other modules, it enables organizations to develop end-to-end business processes within and beyond the firewall that blend data capture, information assurance, document output, and content services.
What is the license cost to upgrade to the LiveCycle Process Management ES2?
If you are currently using Adobe Workflow 6.x and have a current premium maintenance and support contract, you are entitled to a complimentary software upgrade. If you are using an older generation product, such as InTempo, contact Adobe Customer Service.

How do we plan for migration to LiveCycle Process Management ES2?
A transition plan will help to simplify and streamline the migration process. Adobe Professional Services and its partners can help you conduct a complete review of your existing Adobe applications and assist you in developing a roadmap for achieving a cost-effective, strategic, and thorough migration. Our three-phase approach helps to ensure a systematic assessment of your migration requirements, resulting in a migration plan that is tailored to meet your business objectives:
  • Current-state analysis: Adobe Professional Services works with you to complete an initial determination of the size, complexity, and business requirements of the application(s) to be migrated and to identify the optimal timing and scope of the on-site migration assessment visit.
  • Migration assessment: Adobe works with your team to conduct an on-site migration assessment that includes a review of the desired infrastructure; knowledge and skillsets around the new technologies; transition issues; dependencies; use of existing Adobe LiveCycle server software; and current form-rendering methods, clients, and requirements.
  • Migration plan development: Based on the migration assessment, Adobe helps you develop a migration plan. This plan provides a business case for the migration and expected benefits, an impact assessment on the existing infrastructure, recommendations on the desired future state of the application, and an upgrade roadmap, including the recommended sequence of activities and the estimated effort involved to complete the migration.

Is there a checklist for migration?

The following checklist provides some suggestions on steps to take when migrating to Process Management ES2. While each migration process will be unique, these general guidelines help you understand the steps involved.

Skillset development
Engineering and business teams need to be trained on the new methodology and core concepts. It is recommended that your team receive instructor-led training for Process Management ES2. Training sessions can be tailored for specific functions and skills, such as:
  • End-user training on LiveCycle Workspace ES2 and LiveCycle BAM ES2 Standard software
  • Business analyst and developer training to build familiarity with tools such as LiveCycle Workbench ES2 and the Workbench in LiveCycle BAM ES2
  • Administrator training to gain knowledge of deploying and administrating a J2EE application server
Platform migration

Process Management ES2 requires an application server, an enterprise database, and a directory server for deployment. LiveCycle ES2 supports a large number of platform combinations. Before deploying Process Management ES2, you'll need to learn about requirements for scaling and sizing; platform selection, including operating system, database, and SQL database; and directory server selection.

Application migration
To take full advantage of Process Management ES2, you'll need to learn about:
  • Process conversion: Process migration requires redevelopment of the process within Process Management ES2.
  • Forms conversion: Form designs created in previous versions of Adobe Form Designer, Adobe Designer, Adobe Acrobat 6.0, or Delrina FormFlow software must be converted to the XDP file format and the XFA object model before they can be used.
  • Reporting conversion: Use LiveCycle BAM ES2 to redevelop existing reports to real-time dashboards.
  • Client software: You'll need to migrate from Web Access and Form Manager 6.0 to LiveCycle Workspace ES2. The existing database and audit trails will also need to be archived.
