Introduction and meet Khara Plicanic

[Khara Plicanic]: Have you ever had someone give you a PDF and ask for just one small change?

Normally, it's not a big deal, right?

Except, in this case, you don't actually have the original InDesign file.

Only the PDF.

I'm Khara Plicanic, and I'm going to save you from attempting to rebuild the whole document from scratch, because InDesign can actually open the PDF and convert it to an editable InDesign document with real text, images, colors, styles, and more.

Now, it's not always going to be perfect, but it can get surprisingly close, and it's going to save you a ton of time.

Let's take a look.

So here's our starting point, a PDF for a very serious theatrical production called "Don't Mind Me.

An exploration of artisanal overthinking."

So we have the PDF, but no InDesign file.

To convert it, we're going to go over to InDesign and we'll choose File > Open PDF.

Convert a PDF into an editable InDesign document

Select the PDF.

And click Open.

You can also drag and drop a PDF right into InDesign.

InDesign analyzes the file and creates a brand new editable InDesign document from it.

All of this text is live and editable, so I can come in here and clean up any wayward formatting.

All the artwork and linked graphics have been recovered and we can see them here in the Links panel.

The drop shadows on this graphic here are also editable so we can come in here and make any changes to that as well as these small vector illustrations.

If we take a look at the QR code here, it is still readable, but it hasn't been converted to an editable QR code.

So if we need to make changes to it, we would want to replace it.

So we could get rid of this and just make a new QR code.

InDesign can recover quite a bit more than you might expect, including color swatches, paragraph and character styles, tables, automatic numbering, and more.

But how much comes through depends partly on where your PDF came from.

You're generally going to get the best results if the PDF was originally created in InDesign, but you can convert PDFs created in Word, Excel, and other applications too.

Just know they may require a little more cleanup.

So think of PDF conversion as a major head start, but not necessarily a perfect one-to-one reconstruction.

Check what converts cleanly and what needs fixing

Now before you start making changes, it's a good idea to take a minute to compare the converted InDesign document with the original PDF.

You're going to want to check for differences in line breaks, text flow, image placement, formatting, and anything else that matters to your particular layout.

Compare, save, and package the finished file

Once everything looks the way you want, make sure to save it as an InDesign document.

And if you're handing the project off to someone else, choose File > Package to gather up your InDesign document along with all the linked assets and other necessary files into one tiny folder so the next person has everything they need to keep working with the layout.

So the next time someone needs a change and only has a PDF to work with, don't panic.

InDesign can handle it.
