In this video, learn how to use Adobe Acrobat's Fill & Sign Tool to make filling forms and applying signatures to PDF documents a quick and seamless process.
Hi everyone!
My name is Angelo Montilla from www.montilladesign.com.
I'm an Adobe Certified Trainer, Designer, and YouTube Content Creator.
Let's dive into Adobe Acrobat and learn more about the Fill & Sign Tool.
Now, there are two ways of accessing the Fill & Sign Tool.
In the Document view, which we're currently in, click on All tools, scroll down and click View more and you'll see that Fill & Sign is an option in the All tools panel.
Go ahead and click that and now we're in the Fill & Sign Tool.
Alternatively, another way of getting to the Fill & Sign Tool panel is simply clicking the E-Sign tab located in the upper left-hand corner of the screen.
Now, it's also important to note that in this tutorial, we'll be working with a flat form rather than an interactive form that's already been prepared with text fields.
Now, to fill a form, ensure that you have the Fill in form fields icon selected.
If I hover over any of the form fields in this form, you can see that the Fill & Sign Tool to automatically detects the text fields in this form.
So, for example, I can click on the Name text field and type in my name.
You can also adjust the size of the text by clicking the Type Size icons above.
If you click on the edge of the text box, you can drag the text to another area in the field.
To fill in a checkbox option in a form, click on either the Checkmark or Crossmark icon.
For this example, I'll use a Checkmark.
Hover over one of the boxes in the form to select the package option offered.
So, for example, I can hover over the Gold Package option, and you can see Acrobat detects that box and it adds the icon.
Much like we did with the text, we can increase the size of the icon and then you could just reposition it accordingly.
Next, let's look at how to add a signature to the form.
In the Fill & Sign Tool, click Add signature.
This brings up a dialog where you can type, draw, or upload an image of your signature.
So, I could just type my name in, and you can see that it adds this signature with a handwritten script file.
However, there is an option in the bottom right to choose a different style.
There's also an option to draw your signature.
So, if I click the Draw icon in the top menu, I can hover over the field here, and using a mouse or a stylus pen, you could just draw in your name like so.
Tap load the signature, go ahead and click the Image option and you can see I have a Signature.png available already and that's my signature.
I'll select the image, and it will automatically upload the image to the signature field.
I can save this signature and then apply it.
And you'll see that it's now in my loaded cursor.
So, I could just hover over the signature field and drop it in where I want.
I also have the option of scaling down the signature if it's too big and then repositioning the box accordingly.
You can see that it's saved a copy of the signature, so that when I need it again for another form, I can just click on it and drag another copy and place it where I want.
To add initials to a form, follow the same steps as adding a signature.
To share the form with others, click on the Share button in the upper right-hand corner.
Here you can enter the name or email address of the person you want to share the form with.
You can also choose to create a shareable link to copy and paste into an email or send it as an email attachment.
To give you a sense of how this will appear in a web browser, I'll create a link to share.
The form will be saved to Adobe Cloud Storage, and we can view it in Acrobat on the web.
So, with the link copied to my clipboard, I can paste it in a web browser, and you'll see a copy of the form is available online for viewing and adding comments.
Let's jump back to Acrobat on desktop.
Acrobat also allows you to create a read-only certified copy.
So, in the Fill & Sign Tool, click on Save a certified copy.
This will create a secured read-only version of the document, with the option to once again generate a shareable link, which you can see here in the File information panel or Send a copy via email.
Now that you have a better understanding of how to use Fill & Sign, give these techniques a try with your own form documents.
Again, my name is Angelo Montilla, and I'll see you in the next video.
