Maximize Acrobat Efficiency with Generative AI

[Music] [Lori DeFurio] Welcome. My name is Lori DeFurio, and I've had the pleasure of working at Adobe and evangelizing Acrobat for over 20 years. [Zach Winters] And I'm Zach Winters. I am the Creative Cloud lead on the digital media product enablement team. I'm excited to be here, to talk to you and Lori about Acrobat and Generative AI.

In today's session, we'll start with how Acrobat leverages AI, the AI tools in Acrobat, and then show you the latest ways to use Acrobat to accelerate your work.

Acrobat and its Generative AI tools are available on desktop, web, and mobile. And in fact, across nine surfaces, including your favorite browser and Microsoft apps.

I'll be showing Acrobat Mobile, so I encourage you to point your mobile device at the screen to download Acrobat, but also download Adobe Scan, which is the best tool to convert your paper to searchable, reusable PDFs. I like to think of Generative AI for what? For helping accelerate time to knowledge. So it's great having all this content, but understanding the impact components within your documents is key. The ability to synthesize a report more quickly or gather insights about a new industry trend. And I'm sure most of you, like me, have a folder of information you'd love to read but you just never have the time. AI Assistant summarizes the document for you, providing insights. And if you want to learn more, just start chatting with the document. And when I think about the use cases, they're in every department.

Policies or résumés in HR, contracts and legal, white papers and marketing plans, and financial reporting. All right. How about Generative AI for finding information? Historically, using search, Control F or Command F has been a way to find information in documents, and it can be slow and tedious. AI Assistant is a gamechanger here for anyone that consumes long form digital documents. Just start a conversation and ask for the information you need.

And finally, Gen AI for repurposing or reusing content. The power here is not just garnering the insights from a PDF but to the power to generate output. Think about asking AI Assistant to draft a blog post from a research report or summarize in an email the results of a financial earnings transcript or generate a quiz with answers from training materials. And in any of these intended uses, accelerating time to knowledge, finding answers more quickly or repurposing or reusing content, AI Assistant will speed up these tasks.

The number one question I may ask on a daily basis is how is Acrobat using my data? Acrobat does not use your information to train our models. You can be confident that your data isn't being used to train a model that might appear in the answers in someone else's prompts in a different organization.

Acrobat only looks at the information in the document or documents that you're using. It doesn't look around the Internet for an answer. If the information isn't in the file, Acrobat lets you know. When Acrobat provides a response, there's a hyperlink directing you into the document so that you can confirm or verify it in context. And we make it easy for IT admins to control who can use AI Assistant. And with all AI technology at Adobe, Adobe Firefly, Adobe Sensei, AI Assistant, they were built with the principles of ethical AI, transparency, testing, and impact assessment. And we've included links to the Adobe Trust Center in this resource guide if you're interested in learning more about Adobe's approach to ethical AI.

So AI, and more specifically Generative AI, has use cases anywhere in an organization, and it can be leveraged to improve efficiencies. We've included a use case library of videos as well as a report that Adobe commissioned from Pfeiffer. And this report benchmarks core tasks with and without Acrobat AI Assistant. So now let's take a look at an example workflow.

Altura Community Connections, a corporate social responsibility program at Altura Technology, has an upcoming event that they're calling splash of color. They've commissioned artists to create a beautiful and vibrant mural and recruited volunteers, including residents from the community and Altura employees to clean up the park and help paint this mural. The CSR and creative teams have been working on the materials for the event, including everything seen here.

We've just completed the first draft of the artist profile booklet, the sponsorship guide, and the presentation, and now we need to have them reviewed by the team leaders.

Here are the three files. And to simplify the review and feedback process, I'll combine these into a single file by selecting Create, Multiple Files.

I'll add the open files, and select Combine.

Now I'll share the new combined file for review. Now I have a variety of ways to share the PDF, via email clients, collaboration apps, or a link.

I'll add a message and include that comment in the review.

Set a deadline and select Invite. And they'll each receive an email as well as a notification in Acrobat.

Well, I wasn't at my desk when the request came in, but I know we're on a deadline to finalize these materials. So I'll just open Acrobat in mobile, and I can see that this is a shared file.

I'm alerted that there's one unread comment.

It's the original comment with instructions from Lori.

As is the case with demos and wearing multiple hats, I'll assume the role of Ruthie DeForest. So, let's see here. Gotta look through this. Oh, it looks like we forgot to update the project manager name.

So, I'll use the pencil tool to highlight the issue and also write a comment.

And two of the three images here show an artist at work.

Let's request a new image.

I'll just @ mention Zach, and that will alert him that he was mentioned.

And it will make it easy for him to know what he was assigned to during this editing process.

And all the comments are now visible to everyone in the review.

That was great. So, Zach, since you're already in the mobile app, can you show us AI Assistant? Yeah, of course. So similar to Acrobat desktop, you have the colorful AI Assistant button right here. I'm offered suggested prompts, and we can see all three here, but I can just add my own question as well. And since we're using mobile, I can use voice prompts and just talk to Acrobat. What are the benefits to this program? An AI Assistant responds with an answer that I can verify with a single click.

So, Lori, what's next? Well, here's the PDF on my desktop. And I see there's four new comments I haven't reviewed yet.

The ones from Zach working on mobile as well as from our other reviewers. It looks like we need to update a couple of the images and address some updates. So, Zach, can you show us how quickly you can edit the project in Acrobat? Thanks, Lori. Looks like we have two comments here, both involving images. Now that Acrobat has Adobe Express integrated, we can use the Adobe Firefly capabilities to change these images directly within Acrobat. Let's take a look at that first comment. I'm being asked to remove the tree in this image. First, I'll select Edit to open the edit panel. I'll click the image and then select Edit Image. Now, Adobe Express opens right within Acrobat. We have multiple tools and options at our disposal here, but per the request from the comment, we'll use the tools to remove that middle tree. So first, I'm going to select Generative Fill, then I'll make sure to get my brush size right for what I'm doing here.

Now, all I have to do is just draw on the page where I want to make the change. I'll cover this tree, then click Generate. It will now start generating options by leveraging Adobe Firefly. I have three options to choose from, and we can see each is different. But I like this first one the best, so I'll select that and then Done and Apply. And there you have it. The image is updated right back in the PDF. The request is fulfilled. I did exactly what was needed and didn't even need to leave Acrobat.

Now let's take a look at that second comment. Based on what is needed here, I can't just edit this image. Instead, I'll need a whole new one. Again, I'll select the image I want to change. I could choose replace image if I had one available, but I don't. So instead I'll click 'Generate image' to create a new one using Adobe Firefly. Same as with the edit image feature, Express opens directly within Acrobat. Just like you've probably seen before in Express and Firefly, I can now write a prompt which will generate images for me to choose from. To meet the ask here, I'll use the prompt, an artist painting on an outside wall at sunset, show the paintbrush, use bright, vibrant colors.

Now I'll need to make sure that the size of the image is correct, so I'll choose landscape here. And then I'll set the content type to photo. Now, I'll click Generate.

Again, there are options here to choose from. I like this one. I'll select this and then Apply. And now right back in the PDF, it's there replacing the original image.

We can slightly resize it to match these other images and done. Two tasks complete. Two images changed. We stayed in Acrobat the whole time. Lori, back to you. Great. Now that the comments and edits have been addressed, the next step is to create personalized cover letters to prospective sponsors and volunteers to accompany the sponsorship guide and the materials, whether it's a local business, our employees, or previous event supporters. But first, a key element to working with Generative AI is to craft a good or great prompt to achieve the best results.

Prompts can be simple or complex, and AI Assistant can provide an output based on your needs. Understand, gaining insights.

Analyze, using Boolean search terms like "contains" or "and" to accelerate your research. And generate, creating new derivatives from your documents, like generating a cover letter from your résumé and a job description, or writing a blog post, adding instructions for length, tone, and formatting instructions, or even generating a Firefly prompt to create an image to accompany your blog post. And when you're not sure where to get started, I like to use this one.

But here's a great way to break it down. Let's look at the same prompt from the previous slide.

The task is the first component of the prompt. It should provide clear directions to AI Assistant. Write a blog post. The context is the second component of the prompt, supplying the necessary information for AI Assistant to respond appropriately. For a digital marketing audience in the retail summarizing the top trends.

Highlight the expectations to convey response goals.

The summary should have key themes. It should be about four minutes long, make the tone warm and engaging, something that makes the author seem admirable and they might want to share. And finally, specify a format for the output. The blog should read continuously and should not have section headers. Suggest a prompt to generate a Firefly image. So when crafting a prompt, think of it as directing a helpful assistant. The more specific, the more consistent the output. So to help you get started, we've included a link to the AI Assistant prompt guide and a great library of sample prompts in the resource guide. So let's craft a prompt or two for our project. Here's the final edited materials. The artist profile booklet, the sponsorship guide, and the presentation. And as you can see, they don't all need to be PDF for AI Assistant to work. So I'll open Acrobat. I can access AI Assistant here or here.

Since AI Assistant supports multiple documents and multiple formats, I'll select my three files.

And first, Acrobat will convert them to PDF and then process the three documents.

And you can see each one here and select anyone to be your default view.

So let's try a prompt. Create a personalized cover letter for a local business near the park to invite them to sponsor this project. The letter should be three to four paragraphs with an inclusive tone, which outlines the goal of the project, how to get involved, data points on where to participate, and include one quote from participating artists. This prompt has a good amount of information for AI Assistant to provide me with content.

I can select any of the attributions to verify the responses are reliable and sourced from my documents. I just select it and I'm taken to the spot in the document where it came from.

And since I have three separate documents here in a collection, I can see this is from the sponsorship guide.

This is from the artist's booklet, as is this one.

And finally, how to participate is outlined in the presentation.

I'll just copy this draft into my cover letter template to edit and distribute. Well, let's try another prompt. I want to add a customized image to the cover letter. Suggest the prompt to generate an Adobe Firefly image to include with this letter.

AI Assistant picks up on the context of what I'm trying to do. So when I ask for the Adobe Firefly prompt, it understands I'm talking about the project, a local business, and the letter. Now I'll go over to firefly.adobe.com, paste the suggested prompt into Adobe Firefly, and it generates some examples to use.

Now imagine I've sent this out to potential sponsors and you can see there's over 20 pages of information. So in lieu of using search, Control F or Command F, they can quickly understand the sponsorship levels with a prompt. Summarize sponsorship levels in a table.

And all the information is easy to understand and formatted such that it could be easily copied and shared with their team.

And speaking of tables, about one third of all documents processed by AI Assistant contain tables. The latest version now makes working with documents containing complex data tables so much easier to understand and analyze.

This here is a report on endangered species. It shows the population over the past 10 years. And I would like to know which species had the largest and smallest populations in 2021.

Now this would take me a little bit of time to scan through the data manually. AI Assistant was able to deliver the answer and show me exactly where it came from within the document.

I could also ask AI Assistant to help me with some math.

What is the average population of the black rhino over the last 10 years? AI Assistant returns a clear answer and even shows the calculation on how it arrived at that answer. Showing work not only inspires confidence but it could also help users understand and learn how to do that calculation on their own if they wanted to.

But we can even take it a step further and ask AI Assistant to do projections based on the information in this table.

So I'd like to project the population of a few species and I wanted to deliver the information in a tabular format.

AI Assistant was able to deliver on this complex request, which would save me tons of time that I can now use for other tasks. And I would be remiss if I didn't mention the fact that AI Assistant can handle your meeting transcripts. Regardless of the tool you use to record meetings, Acrobat can automatically generate meeting summaries and identify action points from transcripts.

Under third-party apps on the home tab, you can connect Microsoft Teams to Acrobat.

You can see all of your recent meetings. Just select one, and AI Assistant will open and summarize it.

Now you're not using Microsoft Teams? No problem. Just download a VTT file. That's the format for meeting transcripts and open it in Acrobat. Select the generate summary tool, and you'll find out everything about the meeting. A summary, the highlights, and next steps.

And if you need more information, maybe you missed the meeting, leverage AI Assistant. Let's try a prompt. List any unresolved issues or topics that need further attention.

And I get the answer. And as always, in AI Assistant, I can select the attribution to see the information in the context of the meeting. And as we mentioned previously, we've created a Resource Guide for you as a takeaway today. You'll find it on the session description page, or you could grab it right now using this QR code.

But, Lori, I think we have time for a couple questions before we wrap up. Okay. Folks seem interested in the size and length of documents that can be processed by AI Assistant. Well, that's an ever-changing answer as the team constantly is adding enhancements to the tool. So I suggest you check out the documentation link found in the Resource Guide for the latest settings. How does Acrobat AI Assistant handle my data? I said this earlier, but I'll say it again. This is basically the number one question I hear all the time. What about my data? So AI Assistant is anchored to your document or documents that you've opened in Acrobat. It won't look for answers outside of that, so no web surfing for an answer. Additionally, none of your data or information is retained. No training of our LLMs, that's large learning models, and no using your data and no storage of your data or your content. So I like to think of it as your data is your data.

That's good to know, and I like that. That should be the tagline there. Your data is your data. But thank you, everyone. I appreciate your time today. It was great getting to talk to you and Lori.
